Create "Proposal"



Signatories of the "Proposal"

You will select an entity from the list-

Then, the "Signatories" is autonatically filled-

Clicking on Signatories reveals the structure of the legal entity. In this case, we have a trust with an individual trustee and a company as trustee. Please note the 'Must Sign' flag is just an information flag. You can tick or untick who to send the proposal to for signing. 

Accziom will list all Authorised contacts within a client file and pre-select any flagged as ‘Must Sign’. In this example, we see that Lulu Doe is  an individual trustee of the company. 

If you want to add/update "Signatory" navigate via "Clients" tab.

"Insert email template"

You can select from an email template, create a new one or write the invitation email from scratch.

"Add Services" 

Add any services to include in the proposal.


Once you’ve added the service(s) and clicked "Save", you will see the updated screen below. 


Note, the "Service recipient" column. This column appears if the Proposal recipient is part of a group. Any of the group members can be selected as the recipient of a service. This lets you send a single proposal to the billing entity and specify who receives the services. If you want to offer tax returns to multiple entities for example, you can click on the duplicate button and select different service recipients.


Briefing

The next page will show you a preview of any briefing questions set up for any services you added to the proposal. Just to make sure the questions are relevant. if you need to change something you can do so in the service setup.

Billing

Our billing engine allows for incredible flexibility on how to bill your clients. You can choose to bill items together or separately. By default, items are billed together, and GST is applied if you are registered for GST. In case of an overseas client, you can toggle off GST.

 If you want to bill any item separately, use the Bill Separate toggle.

You have the option of a Single payment, Two payments (usually a deposit and final invoice) or Installments.

For each, the payment trigger can be the contract signing or once work is marked as ‘Done’ on the dashboard.


NOTE: If multiple items are billed at completion, the invoice will be sent once all services are marked as Done.

1. Select up-front payment or payment on completion. 
2. Select the day(s) increment for sending the invoice or processing a direct debit. 

NOTE: Selecting "0 day(s)" will send the invoice or trigger a direct debit as soon as the event occurs.

1. Adjust the % to your liking. If you don’t want to take a deposit set to 0%.
2. The number of the second % field will adjust automatically.
3. Set the day(s) increment for sending the invoices.

3. Set the day(s) increment for sending the depositt invoices. "0 day(s)" will send the invoice upon signing the contract.

3. Set the number of instalments and the interval for sending the invoice. You can choose from Days, Weeks, Fortnights, Months and Years.


Once you have selected the billing method, the rest of the page will become available, showing the total Contract Value, Billing schedule and Options.


Price Adjustments
If you want to discount or markup the pricing, click Adjust pricing. 
NOTE: We will show discounts to the client, but markups are not emphasised. See below for examples:

The billing schedule shows all upcoming contract invoices.

1. Showing pricing details to clients will include the Contract Value section above, featuring the individual service costs. If excluded, the client will only see the Billing schedule.

2. You can choose how to bill your client. Via invoices paid manually or Direct Debit. Note if you don’t see the Direct Debit option, you have not set up Stripe in the account settings.

Agreement

The agreement holds the terms and conditions of your engagement. We have put together several templates for accountants and bookkeepers. You can choose one of these, create your own templates or write the agreement from scratch.


Within your agreement, you can use the variables shown below. The preview button will show the agreement with the variables filled in. 


The variables are self-explanatory, but the <service scope> can benefit from further information. 


Service scope templates can be set up in the Settings - Templates area and linked to different services. This is useful if you have multiple services sharing the same scope, such as a tax return for example. If the proposal includes numerous services that share the same scope, the service scope will only be included once in the Agreement.

Clicking Send will send the proposal to all signatories.


 


Sending Proposal / "Sent"

Countersign the Proposal/Agreement

Once the client "Signed/Accepted" the Proposal, the "Business Account" should "Countersign"


Before the Business Account cam proceed signing the Agreement, make sure that you have a connected Accounting software, resolve this via "Settings > Accounting apps", this can help the business to generate invoices.
